Who Should Own Your Domain, Ad Accounts and Brand Files?

Nov 2, 2026

Your business should understand and retain appropriate control of its core digital assets, while giving partners the access they need to work. Clarify domain registration, website and advertising accounts, analytics, final files and licensing in writing. Paying for a project and having every necessary right, login and source file are not automatically the same thing.

These questions are easiest to answer before a project starts. They matter when a relationship is going well, too. Good documentation helps people work without relying on one person to remember where everything lives.

Think of it as continuity: if somebody is unavailable tomorrow, can the business still operate?

Who controls the domain and renewal?

Identify the registrar account, the registered holder and the person receiving renewal notices. Make sure the business can recover access and understands who pays the renewal.

A domain transfer is a specific process with eligibility rules. ICANN’s registrant guidance explains common transfer questions, including restrictions that can affect timing. Do not wait until a last-minute provider change to discover an access problem.

Using a professional to manage the domain can be sensible. The arrangement should still make the business’s control, authorization and recovery path clear.

Who can administer advertising and analytics?

Google Ads and Google Analytics provide different access roles. Permissions determine what a person can view or change; sharing a password is not the only way to collaborate.

Know which business account holds the assets, who has administrator access and how a partner is connected. Ask how access will be removed when the work ends without unnecessarily disrupting the business.

Keep a current account register. It should identify the platform, responsible owner and support contact without exposing passwords in a shared document.

Which brand files are included?

Ask what final files you receive and how you can use them. A logo package may include formats suited to websites, print vendors and other applications. Source or editable files should be specifically addressed.

Fonts, photography, stock assets, templates and software can carry separate licenses. Ask which licenses are held by your business, which belong to the provider and what happens if a subscription ends.

A useful living brand guide helps people find approved assets and current standards. It should make the rules and available files clearer, not replace the written terms of the engagement.

What should an exit plan include?

Discuss the handoff while everyone has time to do it well. Identify the files, account access, data exports, connected services and subscriptions that need review.

Clarify whether transition help is included, what it costs and how long the provider will retain files. Also identify any platform limitations affecting exports or portability.

Our project process provides context for review and delivery. Your individual proposal and agreement should contain the applicable terms.

What should you ask before signing?

  • Which accounts will be created in the business’s control?
  • What access will the partner receive?
  • Which final and editable files are included?
  • What has a separate license or recurring fee?
  • What happens to access, data and files when the relationship ends?

Ask for plain answers rather than relying on the phrase “you own everything.” The details protect continuity and help avoid surprises for both sides.

The marketing system guide connects these assets with the broader operating structure. To clarify the handoff in a new project, talk with Ballard Branding about the scope before work begins.

Questions owners ask

Should an agency have administrator access?

Sometimes the work requires it. The right permission depends on the task. Understand why access is needed and keep a business-controlled recovery path.

Does this article decide who owns my existing designs?

No. Review your agreement, the asset’s license and applicable rights. An account access checklist does not resolve an ownership dispute or replace advice about your specific contract.
